The EfficiencAI Handbook
How we run engagements, build software and look after your data, written down in one place. It is the same document we hold ourselves to.
1.Who we are
A small team that builds automation for recruitment agencies, and stays with it after launch.
Small on purpose
The people who scope your build are the people who write it and the people who answer when you need it changed. Nothing gets lost in a handover because there is no handover.
Recruitment only
We do not build for every industry. Knowing how a desk actually runs, from first application to signed offer, is the whole advantage.
Builders, not resellers
We build the systems we sell. When something needs to change, we change it, rather than raising a ticket with someone else.
2.How an engagement runs
Every piece of work starts with a conversation, not a contract.
Understand first
We learn your process as it really is, including the workarounds, before we suggest automating any of it.
Fixed scope, fixed price
You know what you are getting and what it costs before anything starts. If the scope changes, we agree it with you first.
Setup is on us
Configuring templates, connecting your CRM and getting your team live is included. You should not need an IT ticket to start.
3.How we communicate
Plain language, written down, and to the point.
Say it plainly
No jargon to sound clever. If something is technical, we explain what it means for your week.
Bad news early
If something will be late or will not work the way we hoped, you hear it from us before you notice it yourself.
Write it down
Decisions, scopes and changes are written up and shared, so nobody has to remember what was said on a call.
4.How we build
Small, testable steps, against your real systems.
Ship in weeks
We would rather put something useful in front of your team quickly and improve it than disappear for a quarter.
Test with your data
Builds are tested against your actual CRM, templates and edge cases, with your team, before they go live.
Readable by design
Every workflow is documented, so you can always see what it does and why.
5.Data and security
Your data is held for your benefit and nobody else’s.
Encrypted and private
Data is encrypted and held on private servers we control, aligned with GDPR and ISO practice.
Least access
We only connect to what a build needs, and only the people working on your account can see it.
Used for you only
Your candidates’ and clients’ information is used to deliver your service and nothing else.
6.After launch
Going live is the start of the work, not the end of it.
We look after it
If a connected system changes underneath a workflow, we fix it.
It keeps improving
Tweaks to templates, prompts and rules are part of the service, not a new project.
No lock-in
No long contracts. We would rather keep your business by being worth it.
7.What we won’t do
The lines we do not cross, whoever is asking.
Replace judgement about people
Automation prepares the decision. A recruiter makes it.
Oversell
If a tool you already own can do the job, we will tell you, even when it means a smaller project for us.
Hide the price
Clear pricing, agreed in advance. No surprises on the invoice.
